The Town Club takes the issue of safeguarding your privacy seriously. Our privacy policy describes what information we collect from Members as well as visitors at The Town Club website and mobile app, and the way in which The Town Club uses this information to better serve the needs of our Members and their guests.
What is Personal Information?
The term "Personal Information" refers to information about you as an individual, such as your name, address, age, gender, image, and account information.
Why Is Personal Information Collected?
1. To Provide a Superior Membership Experience to Our Members and Their Guests
Your Personal Information is collected to assist us in making your dining and event reservations and court bookings, to ensure your needs are met while at the Club. Our goal is to provide you with superior service, at all times. By keeping certain Personal Information on file, Members have the ability to book facilities, check statements, and book events on our website and mobile app.
2. To Keep Members Informed
We may use the Personal Information you provide to send you information on Club events and/or service interruptions. In order to do this, your information may be shared with a third party, for example, an email marketing software company. These companies are under contract with The Town Club and are contractually required to protect all Personal Information to which they have access. If you do not wish to receive information from The Town Club you may indicate your wishes by using the unsubscribe feature at the bottom of all Town Club email marketing communications.
3. For Marketing Research
Finally, we may wish to contact Members periodically to conduct surveys or focus groups to receive your views of our services and amenities. Such information may be collected by a third party under contract with us and they will be contractually required to protect your Personal Information as explained below. Occasionally we will combine information from a number of Members to better understand trends and Member expectations. When this occurs, all identifiers are removed and the aggregate information cannot be linked to any specific Member.

1. On Our Website and Mobile Application
A. Initially Upon Contact With Our Website
When you visit our website www.thetownclub.com you are initially given a "cookie", and your computer is assigned an ID number. A. On Our Website and Mobile App
You can learn more about The Town Club and its history, amenities, and Membership options without providing any Personal Information.
Members who visit www.thetownclub.com or the mobile App who elect to make reservations online will be required to log in. When you create an online profile you will be asked to provide specific Personal Information, including your name and member number. The transmittal of your Personal Information shall constitute your acknowledgment and agreement to the terms and conditions contained in this Privacy Policy.
Due to the personal nature of the information you provide when logging in through our website or mobile App, The Town Club employs encryption technology to keep your data secure.
3. Regarding Membership
A. When Inquiring about Membership
If you have indicated via email or otherwise that you are interested in receiving information about Membership at The Town Club, you may receive information. If you contact The Town Club to request further information about becoming a member, we will record your contact information and any other applicable information while we work with you to find the Membership that best suits your needs.
B. When Becoming a Member
By the time you are ready to become a member, The Town Club may already have some of your Personal Information on record from your previous interactions with our personnel. Any financial information The Town Club collects will be protected under the terms of this Privacy Policy.
C. As a Member
Once you become a member, The Town Club will use your Personal Information to create a member profile that is stored in our system. This is used to keep track of your account and to provide you with superior service throughout your ongoing relationship with The Town Club. The information recorded in your member profile includes your name, contact information, certain account, and financial information, details about your Membership, as well as your preferences and any special requests.
When you contact The Town Club for any reason relating to your Membership, the club staff who speak to you will access your member profile in our system. The information you provide and any additional information or preferences will be recorded in your member profile. This information will be used to assist us in making your reservations, providing the services that you desire, and to ensure we meet your needs while you are a member of the club.
D. During Your Time at the Club
During your time at the club, The Town Club will record information about your use of the amenities and services. The Town Club will use this information for the purposes of billing and to keep track of your reservations. We also record information about your use of the club to comply with financial reporting requirements, including those imposed by auditors and government regulators.
In addition, we may retain the content of any document (including comment cards, electronic documents such as e-mails, and other forms of similar communication) that you send us before, during, or following your use of the club.
How do we store personal information?
1. At the Club
The Town Club stores Personal Information in a secure location in a digital database and/or filing cabinet. Furthermore, we take steps to ensure that only designated individuals have access to this information. The Town Club uses your Personal Information to create a member profile that is stored in our system. The stored member profile information includes member name, address, phone numbers, email, and billing information. The member profile may also include certain information regarding your service preferences.
2. In Our Marketing Databases
The Town Club maintains databases of member information that are used for marketing, promotional, and research purposes. Members will only receive such information if they have not indicated they do not wish to receive emails from the club. Any information sent provides a clear notice of how to discontinue receiving promotional materials.
If I have created a Member Profile, how is my Personal Information treated?
If you create a Member Profile, on our website or mobile app, you will be asked to furnish specific Personal Information. You will also be asked to provide a password for use each time you log in. When you provide information, including revised information to your Member Profile, we may use the information you provide to update other databases maintained by us.
By completing your Member Profile you are considered to have provided consent to share your Personal Information within The Town Club in accordance with this Privacy Policy.
How do I access my Personal Information?
We understand that you may like to know what Personal Information we hold about you. We are happy to assist you with your request. To protect your Personal Information, however, we require that you prove your identity to us at the time your request is made. Should you request this information, not in person, the request must be made in writing via email or letter including a copy of government-issued identification and signature so we can check them with our files and satisfy ourselves as to your identity.
The above information is required to create an audit trail of how the request has been handled. Where a request is made, any correspondence or application may be kept and added to your Personal Information.
How do I Revise my Personal Information?
If at any time you wish to update or access your Personal Information, you can do so by visiting the administration office in the clubhouse or by visiting our member roster online.
How long is my Personal Information retained?
Your Personal Information will be stored indefinitely by The Town Club as long as you are a member or there is a business purpose for doing so.
How will I know if there are changes to this Policy?
Our Privacy Policy may change from time to time and we will post the revised policy on our website (www.thetownclub.com) so you are always aware of how we treat Personal Information. Without your express consent, we will not reduce your rights under this Privacy Policy with respect to Personal Information already collected about you.
